01What an AI Agent Operating System Is and How It Works

An AI agent operating system is a single dashboard where all your AI agents live, share one memory, and work from a task board. Instead of jumping between Claude, ChatGPT, Hermes, and other tools, you have one screen that shows every agent's status, what they are doing, and their past context. The system has three parts: one dashboard, one shared memory vault, and one Kanban board where agents pick up jobs.

When you ask an agent to do something, it reads your business goals, recent decisions, and past work from the vault. It writes its results back into the vault. This way every agent knows your business without you explaining it again.

The whole system runs on your own computer, so you own your data. No coding is needed. You just tell an AI coding tool what you want in plain English, and it builds the system for you.

02Main Features of the Agent OS

The agent operating system gives you several powerful features in one place:

  • Mission control dashboard – shows live status of every agent: which are online, what they are working on, and a chat panel for each.
  • Shared memory vault – an Obsidian folder with plain text files. Agents read context from it at the start of a session and write important outcomes, decisions, and new information back at the end.
  • Kanban task board – columns for to do, in progress, and done. Agents watch the board, pick up task cards, work in parallel, and move cards to done with a summary of what they did.
  • Anywhere access – via Tailscale, a free app that creates a private network so you can open the dashboard from your phone or other devices.
  • Custom workflows – you can create named agents with specific jobs, like a competitor monitor that reports into the vault each morning.

03How to Set Up Your AI Agent OS

Follow these steps to build your own system. No coding experience is needed.

  1. Build the dashboard. Open an AI coding tool like Claude Code or DeepSeek Harness. Start a new chat and paste this prompt: "Create a beautiful operating dashboard hosted locally on my computer for managing AI agents. I want a mission control home page that shows the life status of every agent, which ones are online and what they're working on. Give each agent its own section with a chat panel, a file workspace, a control room. Start with Claude Code, make it easy to add more agents later using the same pattern. Make it run in my browser at localhost." The tool will build a local web app and give you a local address.
  2. Refine the dashboard. Look at the result. Tell your AI tool what to fix in plain English – for example: "Make the agent cards bigger. Put the sidebar on the left. Make the status update live." Repeat until it looks right.
  3. Set up the memory vault. Download Obsidian (free). Open it and create a vault. Then prompt your AI tool: "Create a memory vault structure in Obsidian for my business. I want folders for goals, journals, business context, decisions, and memory. Then interview me about my business, what I do, who my customers are, what I'm working on, what I've already tried and write everything into the business context folder as organized notes."
  4. Connect the vault to the dashboard. Prompt your tool: "Connect my dashboard to my Obsidian vault at [folder path]. Every agent should read from the vault for context at the start of a session and save important outcomes, decisions, and new information back into the vault at the end. Add goals, journal or memory pages to the dashboard that display live from the vault."
  5. Wire in your agents one by one. For each agent, use this pattern: "Add [agent name] to my dashboard using the same layout as Claude Code: chat panel, workspace, control room, connected to the Obsidian vault. It reads context and writes memories like the others." Start with one agent and add more later.
  6. Add a Kanban board. Prompt: "Add a Kanban board to my dashboard with columns for to do, in progress, and done. Agents should be able to watch the board, pick up task cards, work on them in parallel, and move them to done with a summary of what they did written into the vault."
  7. Set up remote access. Install Tailscale on your home machine. Sign in and note the hostname. Install Tailscale on your phone. Scan the QR code to link your devices. Now you can open the dashboard from any browser on your phone.

04How to Use the AI Agent OS – Walkthrough

Once everything is set up, your daily workflow changes completely. Start your day by opening mission control in your browser. You see every agent's status: online, idle, or working.

To give your agents work, drop task cards onto the Kanban board. For example, you might write: "Draft the outline for a script" or "Check indexing on these pages" or "Pull this week's search console numbers." Agents watch the board, pick up cards, work on them, and move them to done. They write a summary of what they did into the vault.

You can leave to go to the gym or take a walk. When you come back, the work is finished.

To create a custom workflow, first do the task manually with the agent in chat. Go back and forth until the output is right. Then save the process.

Prompt: "Save that exact process as a workflow called weekly report so an agent can run it later." After that, you can assign the workflow to the board.

Because the vault holds your business context, every new chat with any agent already knows your goals, your customers, what you tried last week, and what didn't work. You never re-explain your business. In the first month, Julian's vault passed 1,200 memories.

05Results from Using the Agent OS

Before building this system, most people keep AI in a pile of tabs – Claude here, Hermes there, notes somewhere else. Nothing talks to each other. Research from Harvard Business Review shows workers toggle between apps around 1,200 times a day and lose almost four hours a week just reorienting after switching.

Gloria Mark's research from UC Irvine found it takes about 23 minutes to properly refocus after each interruption.

With the AI agent operating system, you have one screen, one memory, and a task board. App switching drops to near zero. You recover those four hours each week and eliminate the 23-minute refocus cost.

Your job moves up from doing tasks to deciding which tasks exist and checking the output. Julian's system runs 7 different agents wired into one dashboard, and the vault passed 1,200 memories in its first month. Each new agent launch, like DeepSeek Harness or Hermes, plugs straight into the same system without rebuilding anything.

06Tips, Limits, and Mistakes to Avoid

The most common mistake: skipping straight to full automation. Never automate a task you have not done manually with the agent first. The correct order is manual, then assisted, then automated.

First work with the agent in chat until the output is right. Then save the refined process. Only then put it on the Kanban board for the agent to run alone.

People who skip this get poor outputs.

Other tips: Start with just one agent plus the dashboard and vault. You can add more agents any weekend. When a new agent launches next month, it slots in as one more card without breaking your workflow.

The system stays, the models upgrade.

The dashboard will not be perfect on the first pass. Use a describe-review-refine loop: look at it, tell your AI tool what is wrong in plain English, and repeat. Julian built his entire system with that loop, including features like image generation, voice, video generator, and Gemini Notebook integration.

Nothing was hand coded by a human.

You own the memory because it is plain text files on your machine. No subscription holds your data hostage. Any new agent can point to the same vault from day one.

07Who Should Build an AI Agent Operating System

This system is for anyone who uses multiple AI tools and feels exhausted by switching between them. If you waste hours re-explaining your business to AI, or you worry about missing context when you open a new chat, the agent OS solves that. It is especially useful for business owners, content creators, marketers, and anyone managing multiple projects.

You do not need technical skills. Julian has helped over 3,700 business owners build this, and many had never used AI before. If you can write a text message, you can direct an agent.

The core build takes about an afternoon. Weigh that against the four hours per week you recover forever. The system also protects you from tool churn – models become outdated in a month, but the dashboard, vault, and board do not care which model sits inside them.

Julian has swapped models several times. Each swap made the system stronger with nothing rebuilt. The faster AI moves, the more this architecture matters because it is the one stable thing that absorbs change.

08Creative Studio and Next Steps

Once the core AI agent operating system is running, you can add a creative studio layer. Use the same describe-review-refine loop. Julian's creative studio includes image generation, voice, live talk, a video generator, and a connection to Gemini Notebook that feeds research straight into the system.

To add a feature, just describe what you want to the agent in plain English, and it builds it in.

Everything shown in this episode already exists as a finished system inside the AI Profit Boardroom. You get a zip file, an install video tutorial, and a 30-day agentic OS roadmap that tells you what to set up each day. You also get weekly coaching calls where you can share your screen and get your exact setup fixed live.
